What to Expect at a Notarization
Every notary’s goal is to ensure the signing is done properly, legally, and securely. This is done by:
Verifying the ID of the signer.
Helping to prevent fraud
Confirming the signer is willing and aware
Following the proper notarization procedures
Ensuring the document will be accepted by the appropriate agencies.
The process is usually simple and quick, but it is also very important. Your help plays an essential role. Understanding the process can help ensure it is a smooth and efficient process. Here is a step-by-step look at what you can expect at a notarization appointment.
Prepare Your Document: Have your document ready for the appointment. Make sure it is NOT signed yet, as the notary will need to witness you signing the document. Also, make sure the document doesn’t have any blank spaces or missing pages. Notaries cannot notarize documents with blank spaces that are not filled in. This can cause delays in getting your document completed.
Have Valid Identification Ready: Your name on the ID should match your name on the document, and the photo on your ID should resemble you. Make sure it is a valid, unexpired, government-issued driver’s license, state ID, passport, or military ID. When you present the ID to the notary, be aware that they may use a special light on your ID and inspect it carefully. This is to protect you and to ensure that your ID is valid and not counterfeit in any way.
The Notary Will Review the Document: The notary will need to determine if there is notarial wording and a certificate on the document, and that the document is ready for signing.
The Notary Will Confirm Awareness and Willingness: Before signing your document, the notary will need to confirm that you are aware of what you are signing. Also, they will need to make sure that you are acting of your own free will and are not being coerced into signing anything you do not want to. You must be able to communicate, understand the transaction, and sign without the pressure of others. If there are other individuals in the room, the notary may ask if they can be excused until the signing is completed. This is for your own safety, the integrity of the document, and the notary’s assurance that you are acting on your own.
You May Sign Your Document: Now you are ready to sign the document in front of the notary. If the notarization requires an oath or affirmation, the notary will need you to swear or affirm that the statements in the document are true.
The Notary Will Sign and Certify the Document: Once you have signed, the notary will fill out the notarial certificate and apply their official notary seal or stamp. The seal or stamp is proof that the notarization has been properly performed.
The Appointment is Recorded: Depending on the state and the type of notarization, the notary may record the notarial act in a journal. You may be asked to provide a signature and a thumbprint for the journal. This creates an official record of the appointment.
